Just Launched! — A Better Way To Organize Notes

by Claire George

Our team at Aha! loves using notes for unstructured information. Team members can easily add and find documentation from meeting agendas to important processes. Capturing information in one place is even more critical when you work remotely. But internal documentation can become unwieldy as teams and programs grow.

We knew we needed to create a better way to browse through all of our documents. And if your team loves using notes as much as we do, I will bet that you have been hoping for an update here too.

You can now see how notes are nested and add emojis to titles for visual emphasis.

You could already organize workspace notes using a folder-like structure. Grouping related information under a top-level note helps you categorize documentation in a logical way. Previously, you would click to expand top-level notes to see any nested content.

So in a mature workspace with many notes, you often had to scroll through a long list to locate the one you wanted. Now each top-level note includes nested notes as a collection. This new functionality is available for both workspace and personal notes.

Let's take a look at how you can use these enhancements to better organize your notes:

Build your knowledge base

Document critical information in each workspace. Below, we created a top-level note called "Meeting notes." Now we can group any related notes — such as the agenda for team meetings — within it. Notice how the title icon of the top-level note changes to a folder when a child note is nested within it. This makes it easier to differentiate parent notes from child notes.

Drag and drop to organize your note hierarchy.

Visualize collections

Parent notes now show any additional note collections contained within it. Each collection includes an excerpt from the note's description, the top three child notes, and total note count. Standalone notes are listed separately. Visualizing groups of notes in this way helps the team quickly find what they need.

You have the option of hiding nested notes as well.

Add visual cues

You want note titles to stand out. Add an emoji to your top-level notes to show what type of content is included in each collection. Here, we used a calendar emoji for meeting notes and a megaphone for announcements. There are many emojis to choose from — so select one that best represents the information captured in each note.

All notes now have a default icon. Select a note's icon to change it to an emoji.

Help your teammates quickly find the information they need.

So what are you waiting for? It is time to get organized. Create new notes, group your existing notes, and add a few bold emojis.
