How we brought planning for 40+ products into one place

We had a problem

Our Product Operations team supports product managers across more than 40 products, spanning different audiences, regions, and levels of maturity. We needed a more consistent way to plan and report across the portfolio.

Previously, we relied on multiple tools for managing different aspects of the product development process. Workflows and reporting varied from team to team, making it difficult to see what was happening. Product requests — like new features, enhancements, and bugs — lived in separate places. And customers lacked visibility into upcoming releases and what happened to their feedback. It was time to rethink our approach.

Aha! as the solution

We rolled out Aha! Roadmaps with Aha! Ideas Advanced across the entire organization. The first steps were to establish workspaces, define standard workflows, set up integrations, and document common practices. This provided our product managers with a clear framework so they could approach work in a consistent way.

We now have one system to connect strategy with customer feedback, plan work, and track progress across more than 40 products.

Ideas portals have transformed how we manage product feedback. Customers and colleagues can submit suggestions directly, while the Salesforce integration keeps requests from sales and support flowing in. Automatic updates help everyone stay informed of the latest status.

With all of these customer insights in one place, our product managers have a fuller picture of what people need to help them decide what to build next. From there, they define the details and send agreed upon sprint plans directly to engineering in GitHub for a smooth handoff.

The Aha! AI assistant helps us all work more efficiently. Team members can ask Elle to update a workflow, create a specific product report, and get guidance — saving hours on tasks that would otherwise be manual.

From a product operations perspective, we have more reliable data across the entire portfolio and can quickly see where teams need support. We use dashboards to bring key information into one view for board updates, giving leadership a clear picture of performance.
